Preparation of Request for Proposal (RFP)
Preparing an RFP first entails the selection and evaluation criteria for the new system. A well-written RFP is critical in selecting the correct system.  Emphasis is given in ensuring that requirements are accurately and clearly stated, so that prospective vendors can provide a quality proposal with well-formed and complete answers.  A well-structured RFP in terms of presentation, organisation and instructions to vendors, will ensure that they understand how to respond in a constructive manner that will permit comparison of the various proposals by the evaluation team. 

Vendor Proposal Evaluation and Selection of Successful Vendor
The evaluation of the Vendor Proposals is an important stage in selecting a new system.  The following services are provided:

  1. Responding to vendor clarifications on the RFP

  2. Evaluate and grade vendor responses to the RFP

  3. Preparation of an evaluation summary of all vendor responses

Ithaki offers Software Procurement Services to assist customers in procuring the software solution from the chosen vendor.  The Ithaki approach is to ensure a negotiated win/win contract that is fair to both the vendor and to the customer.  The following services are provided: 

  1. Determination of the final quantities, decide on options offered by vendor and the vendor deliverables

  2. Request a vendor project implementation plan and access its viability and realistic completion on-time and on-budget

  3. Agree with vendor on project implementation plan, timeframes and deliverables

  4. Access and review the applicable vendor agreements for the project (software licenses, maintenance, training and implementation services)

  5. Prepare the customer negotiation plan for prices and terms

  6. Negotiations with vendor and agreement on prices, terms and performance expectations

  7. Finalise the procurement agreement with the vendor
